JOB DESCRIPTION:

Position:  Retreat Center & Event Coordinator
Location:  Yacumama Eco-Village, Ojochal, Costa Rica

Start Date:  Between November 1st & 15th
Contract Duration:  6 months (with an opportunity for extension)

POSITION SUMMARY:

Yacumama Eco Village is seeking a highly motivated and organized Retreat Center & Event Coordinator to oversee the planning and execution of retreats and events. The ideal candidate will be responsible for ensuring smooth communication and operations, supporting the needs of both facilitators and participants.

This coordinator will create an environment where facilitators and participants feel fully supported and deeply cared for, ensuring their experience is transformative, enriching, and comfortable.

This position reports directly to the founders, Dustin & Ixchel, and will involve regular coordination with various team members, including the kitchen and cleaning manager. The role offers an incredible opportunity to work in a dynamic environment focused on spiritual transformation, sacred ceremonies, permaculture and community building.

PREREQUISITES:

Bilingual (English & Spanish) – required for communication with local staff, vendors, and international guests.
At least 1 year experience in a similar role within a retreat center or eco village.
Previous hospitality experience is a strong plus.
Excellent communication skills – capable of coordinating with various teams and retreat facilitators.
Proficient in Microsoft Excel – comfortable with creating estimates, managing invoices, and tracking finances.
Strong organizational and time-management skills, ability to multi-task.
A trustworthy individual who takes initiative and can work independently.
Experience in logistics – organizing off-site activities and coordinating transportation.
Problem-solving mindset – the ability to quickly and creatively address and resolve any issues that arise.
Ideal candidate has personal experience with spiritual growth, yoga, meditation, authentic relating, permaculture, plant medicine.
Must be comfortable in the jungle and have transportation to get to Ojochal. We can also discuss the possibility of staying on the land.

GENERAL RESPONSIBILITIES:

Retreat Facilitator & Participant Support: Serve as the main point of contact for facilitators and retreat participants, ensuring all their needs are met before, during, and after the retreat. This includes dietary needs, space set up, room accommodations, and activity coordination.
Event Logistics: Coordinate all aspects of the retreat, from managing schedules to communicating with vendors and organizing off-site adventures.
Manage Teams: Make staff schedules for kitchen and cleaning team and work with team to ensure high standards of cleanliness, comfort, and meal quality
Accommodations and Grounds Oversight: Regularly check spaces and communicate with grounds and maintenance teams to make sure guest spaces and paths are set up optimally.
Financial Management: Prepare estimates for retreat groups, create and manage invoices, and track all financial transactions in Excel. Maintain a clear record of expenses and income associated with each retreat.
System Improvement: Identify areas for refinement in retreat operations and collaborate with team members to implement these improvements.
Inquiries & Future Retreats: Respond to inquiries regarding upcoming retreats or events, ensuring clear communication and maintaining a professional, welcoming tone.
Transportation Coordination: Organize pre-retreat and post-retreat transportation logistics, coordinating with local taxi drivers and ensuring timely transportation for participants.
Weekly Reporting: Meet weekly with the founders, Dustin & Ixchel, to discuss progress, updates, and any areas requiring attention.
Guest Experience: Ensure that all participants have a positive and transformative experience by facilitating a welcoming, comfortable, and well-organized environment.
